What to do when Outlook AutoArchive doesn't work?

You can keep Outlook clean and faster by setting up AutoArchive feature. This feature helps to manage space in mailbox or on the email server by moving older items to another location on hard disk. But sometimes AutoArchive doesn’t work in Outlook and thus create the problem in managing space in Outlook mailbox.

Before starting with how to troubleshoot AutoArchive not working issue, here we will show you how to set up AutoArchive feature in Outlook.

Configuring Auto Archive Feature in Outlook:

Auto Archive is not enabled by default; you need to turn it on. Follow the steps mentioned below for turning it on.

  • Click on the File tab then options
  • Outlook options window opens up --> Click on Advanced, then Auto Archive settings button
  • Auto Archive window opens up and you can see everything is grayed out
  • Check the box next to “Run Auto Archive every …..

That’s it!!! It is simple to configure Auto Archive Feature in Outlook. However, if you choose permanently delete old items options, then mails will not be archived. There are many reasons for Auto Archive feature to not work properly, hence it is always suggested to follow the fixes mentioned below before taking any big step:

Fix #1- Alter Settings in Auto Archive

First check whether you have setup AutoArchive feature correctly or not. If needed, alter its setting. To do so follow the steps mentioned below--

  • Open Outlook and then Navigate to File->Options-> Advanced
  • In right hand of the screen, go to AutoArchive feature and click on AutoArchive settings
  • It opens AutoArchive Settings window
  • Then check the following fields, if they are corrected properly or not

Select Run AutoArchive every day check box and also mention how frequently you want AutoArchive to run. If required, select “Prompt before AutoArchive runs” to get notified before AutoArchive runs. Check “Delete expired items (e-mail folders only)”, if you need to delete expired items during AutoArchive. You need to select “Archive or delete old items”, if you want to delete old items along with expired items. Archive.pst appear in the folder list if you select “Show archive folder in folder list” checkbox.

Under Default folder settings for archiving, specify the location to move old items and also set the age that you want to archive. Once you done these changes, click on OK to finish the settings.

Fix #2- Alter ArchiveIgnoreLastModifiedTime value in Registry: -

AutoArchive does not archive the item, when modified date changes due to replay, forward and import operation. Therefore, you need to modify received data on registry. It is recommended to backup Windows registry before modifying it. And, then do as follows-

  • Go to Run window, and type regedit to open Windows Registry.
  • Next, find and click the following registry subkey to edit

HKEY_CURRENT_USER\Software\Microsoft\Office\14.0\Outlook\Preferences (Outlook 2010)

HKEY_CURRENT_USER\Software\Microsoft\Office\15.0\Outlook\Preferences (Outlook 2013)

  • Go to Edit menu, find New and click DWORD Value
  • Then, type ArchiveIgnoreLastModifiedTime, and hit ENTER button
  • Right-click on ArchiveIgnoreLastModifiedTime and press Modify option.
  • In the Value data box, type 1, and then hit OK
  • Close Registry Editor and restart Outlook

Now, check whether AutoArchive feature is working correctly or not.
